How your data is handled, in plain English
No legal jargon. This is the lifecycle of a recording inside INSIGHT, from upload to deletion.
Audio, video, or transcript text travels to our servers over an encrypted TLS connection. Nothing is processed until you start a transcription or report.
Cloud transcription converts speech to text with speaker labels and timestamps. The audio is used to produce your transcript, not to train models.
Where configured, names, SSNs, phone numbers, emails, and addresses in the transcript are replaced with placeholder tokens before report generation.
The shielded transcript and your case details are sent to a cloud AI model that produces a structured draft in your chosen template. Real identifier values are restored in the finished document.
Finished reports are stored with AES-256-GCM encryption using per-user keys, with a SHA-256 hash and signed audit trail for integrity checking.
Export as PDF, Word, or text. Delete reports from your account whenever you want; deletion removes them from active storage.
Who processes what
| Data | Processed by | Purpose |
|---|---|---|
| Recording audio | Cloud transcription infrastructure | Producing your transcript |
| Transcript text (PII-shielded where configured) | Cloud AI report-generation model | Drafting your report |
| Account email and login | Our authentication and database provider | Sign-in and account management |
| Payment details | Stripe | Billing. We never see full card numbers. |
| Usage logs (timestamps, job status) | Our hosting infrastructure | Operations, abuse prevention, support |
What we do not do
- We do not train AI models on your recordings, transcripts, or reports, and we use AI providers under API terms that do not permit it either.
- We do not sell your data.
- We do not read your encrypted reports in the normal course of operations.
What you are responsible for
Scribe Report generates drafts to support review and documentation. You are responsible for verifying transcripts, checking facts, confirming speaker identities, complying with recording-consent laws in your jurisdiction, and ensuring final reports meet your organization's policies.
